EXTERNAL WAITING LIST POLICY:
A. ORIENTATION SESSIONS:
1. Mailing List:
a) The Co-op can hold regular orientation sessions.
b) Between orientation sessions, people interested in joining the Co-op can be solicited, and a Mailing List of such people can be maintained until the next orientation session.
c) Written notice will be sent to people on the mailing list. Such notice will contain the following information:
i) the date of the next orientation session
ii) That special arrangements must be made with the Co-op to remain on the mailing list for notice of the next orientation.
iii) That in special circumstances, arrangements can be made with the Co-op to have an orientation outside the regular orientation session.
2. General Public:
The Co-op may, at its discretion, inform the general public of an up-coming orientation session.
B. EXTERNAL WAITING LIST:
1. Names of people who have attended an Orientation Session and have completed an application for membership in the Co-op shall constitute the External Waiting List.
2. Households on the External Waiting List will be listed in chronological order according to date/time of application. This list will be strictly adhered to for purposes of interviews and unit allocations. No special preference shall be given to friends or family of Co-op members.
3. The External Waiting List shall also include the following:
a) RGI eligibility
b) Income (if RGI eligible)
c) Unit Preference(s)
d) Number of persons in household
4. When notice of any vacancy occurs and an internal member is not eligible to fill the vacancy, interviews shall be scheduled according to the priorities established by the Co-op Unit Allocation/Tenure Policy.
5. Starting at the top of the Waiting List, up to the first three eligible applicants will be interviewed within 15 days of the Co-op becoming aware of a pending vacancy.
(NOTE: A letter will be sent to all applicants who could not be contacted for interviews. See Schedule A.)
6. From among the members accepted, the unit will be offered first to the eligible household first on the External Waiting List. If the unit offer is refused, the unit will be offered to the eligible household second on the Waiting List and so on.
7. The unit offers mentioned above must be in writing and must be accepted in writing within the time specified on the offer. (See Schedule B)
8. If the unit is not allocated to any of the applicants mentioned in (4) above, up to the next three eligible applicants on the External Waiting List shall be interviewed according to (4), (5), (6) above, and so on, until the unit is allocated.
9. If the household at the top of the Waiting List is unable to accept a unit because the date of occupancy is less than 35 days from the date the unit is offered, the Co-op shall offer the unit to the next household on the Waiting List. The household that had been at the top of the List will retain that position.
10. If for any reasons other than the one mentioned in (9) above a household turns down two units that have been offered the household loses its place at the top of the External Waiting List. And its name will be placed at the bottom of the External Waiting List for that size and type of unit.
(NOTE: If the household is on the Waiting List for another size unit, it will retain its original place on that List. This will be at the discretion of the membership committee.)
C. UPDATING THE EXTERNAL WAITING LIST:
Every 6 months a designated Membership Committee representative or the Office Coordinator will contact, by mail, all applicants on the External Waiting List to find out if:
a) they are still interested in moving into the Co-op; and
b) If there have been any changes in family size, family income and/or unit preference (See Schedule C).
